My Account

When you create an account with The Dutch Life certain personal data is collected to personalize offers. The following information is included in your account:

  • House number

  • Download and search profile preferences
  • Favourite homes
  • Notes on homes
  • Email notifications
  • Viewing requests
  • Contact requests

Identification Requirement, Signed Service Order and Delivery Document

We process your identification documents when we need to verify your identity, as we are legally required to do so. The following personal data will be included in this process:

  • Portrait photo (passport)
  • BSN (Social Security Number)
  • Name
  • Date of Birth
  • Address and Place of Residence/Business
  • Document Type, number, issue date,and place of issue used for identity verification

In addition to your identification documents, we are also required to store a signed service order and a deed of delivery.

The Dutch Life – Purchase and Sale Services

When you engage us to assist with buying or selling property, we process the necessary data to carry out your assignment. Below are the details of how we handle your information:

Selling Your Home

If you engage us to sell your home, we will process your data to market the property, assess its value and interest, arrange viewings, negotiate on your behalf, and guide you through the transaction. As part of this process, we will also need to verify your identity.

We primarily process your name, address, phone number, and email address. This information may be shared with the notary, buyer, and buyer’s agent. We retain this data for up to 20 years.

To assist you more effectively, we may also ask for the reason for selling (e.g., upgrading to a larger home, changing jobs). This information is stored for up to 3 years.

In addition, we process specific data related to your property:

  • The date your property was listed and how long it has been on the market.
  • The description and features of the property, including the asking price, year of construction, surface area, layout, cadastral details, WOZ value, and any photos or videos. If agreed, this information may be published on Funda, other real estate platforms, and our website to promote your property. The listing will remain visible for up to 1 year after the transaction period.

If you decide to cancel the brokerage assignment, we will request the reason for your decision. This helps us improve our services. We store this information for up to 3 years.

We are required by law to conduct a test under the Wwft (Anti-Money Laundering Act) and must be able to provide proof of this. As a result, we store the necessary data for up to 5 years.

If we are authorized to draft a purchase contract, we process all the required data, including an identity check. This data is shared with the notary, buyer, and purchasing agent. We store this information for 20 years.

After the sale of the property, we retain transaction details such as the sales price and transaction date. We may also share this information with the NVM (Dutch Association of Real Estate Brokers). The NVM stores this data indefinitely, while we keep it for a maximum of 20 years.

Other information you provide to us is stored for up to 3 years.

In order to perform a property valuation, we and/or the appraiser need to process your personal data. Initially, we collect your name, address, email address, phone number, and details about your property to determine its value. This information is also shared with the valuation institute. Additionally, we process any other information you provide to us or the appraiser. We store this data for up to 20 years.

If you are looking to purchase a property and have engaged us to assist you, we will make every effort to find a suitable home, negotiate on your behalf, and oversee the transaction. For this, we need to process certain personal data and verify your identity. Initially, we collect your name, address, email address, and phone number. We may also share this data with the seller and sales agent. This information is stored for up to 20 years.

When we begin searching for a property on your behalf, we process information including:

  • Your housing requirements as outlined in your search profile.
  • Details about your current home (such as its purchase or rental price and the reason for the purchase).
  • Your age.
  • Income category.
  • Family composition.
  • If agreed with you, we also collect data to assess your financing options.
  • Any other information you provide.

This data is stored for a maximum of 3 years.

When drafting a purchase contract, we process all the necessary information, including identity verification, and share it with the seller, the sales agent, and the notary. This information is stored for up to 20 years.

As required by law, we must conduct a test under the Wwft (Anti-Money Laundering Act) and be able to prove its completion. We therefore retain this information for up to 5 years.

After the property is sold, we store transaction details, such as the sales price and transaction date, for up to 20 years.

Rental & Property Management


Renting Out Your Home with Our Services

When you choose our services to rent out your property, we process your personal data for the purposes of marketing your home, assessing the reliability of potential tenants, and preparing a rental contract. As part of this process, we also verify your identity.

The following data will be processed: your name, address, contact information (including phone number and email address), as well as your specific tenant requirements. Additionally, we collect information necessary for drafting the rental contract, which may include identity verification. We may share this information with the tenant, and it will be stored for up to 20 years.

We also gather details about the property, such as the rental price, year of construction, size, layout, cadastral data, and photos or videos. If agreed, this information may be published on platforms like Funda, other housing websites, and our own site, with the goal of promoting your property. This listing will remain online for up to one year following the transaction.

All collected data will be retained for a maximum of 20 years.

Finally, we process the following data:

  • The reason for your rental search
  • Any additional information you provide us.

This data will be stored for up to 3 years.

You are searching for a rental property and have engaged us to assist you.

We process your data in order to help you find a suitable rental property and draft an appropriate rental contract on your behalf. This also includes verifying your identity.

To facilitate this, we process your name, address, and contact information (including phone number and email address). We may share this data with the landlord and will store it for up to 20 years.

You want to view a property listed with us.

To schedule a viewing and provide you with the best possible impression of the property, we process your personal data. We also record your feedback on the property. This includes your name, address, contact details (such as phone number and email address), the viewing date, your opinion of the property, and any other information you provide to us.

We may share this information with the seller or landlord of the property. We store this data for a maximum of 1 year.

You are interested in purchasing a property listed with us.

We will communicate with you, and possibly your real estate agent, throughout the bidding process. Additionally, we will carry out preparatory tasks for the purchase agreement and transfer. To do this, we need to process certain personal data and verify your identity.

Initially, we process your name, address, email address, and phone number. We may also share this information with the seller. This data is stored for up to 20 years.

When we assist you in your search, we process the following information:

  • Your feedback on the property.
  • Details regarding the bids.
  • If agreed with the seller, information to assess your ability to pay the purchase price or meet other seller requirements. This is based on the seller’s legitimate interest.

When we prepare a purchase contract, we process all the necessary data, including identity verification. This information is shared with the seller, the sales agent, and the notary. We store this data for up to 20 years.

Additionally, we process the necessary data to assess whether you meet the landlord’s requirements, which is based on the landlord’s legitimate interest. This evaluation may be carried out using tools such as the NVM Housing Test. We share this data with the landlord and store it for up to 5 years.

We also process:

  • Your age, income category, and family composition.
  • Any other information you provide to us.

This data is stored for up to 3 years.

When we prepare a rental agreement, we process all the data required, including identity verification. We share this information with the landlord and store it for up to 20 years.
